Machine Validations & Daily Inspections

Machine safety features only protect employees when they are present, functioning, and still aligned with the way the machine is being used.

A machine may have fixed guards, interlocked doors, light curtains, emergency stops, two-hand controls, safety mats, presence-sensing devices, warning labels, lockout points, operating procedures, and other safeguards that need to be verified regularly. The challenge is making sure those safety features are identified, documented, and checked consistently over time.

The Machine Validations & Daily Inspections portion of the app gives companies a structured way to define required machine safety features once, then verify them through repeatable daily inspections.

The Machine Validation process is the admin entry. This is where an administrator identifies the safety features, safeguards, devices, and required checks that apply to a specific machine.

Once the machine validation is created, the Daily Inspection becomes the user-facing entry. Operators, supervisors, or authorized users can complete the daily inspection by validating that the items documented in the machine validation are still current, present, and working as expected.

Instead of relying on generic daily checklists, paper forms, binders, or tribal knowledge, each daily inspection is powered by the actual machine validation record. This helps make the inspection specific to the machine being used.

Built Around the Actual Machine Setup

Every machine has its own safety configuration. One machine may rely on fixed guarding and emergency stops, while another may include interlocked access doors, light curtains, safety relays, two-hand controls, perimeter guarding, pressure-sensitive mats, or machine-specific procedures.

The app is designed to document those details at the admin level first.

Administrators can define which safety features need to be accounted for, what needs to be checked, and what information should be verified during daily use. This creates a machine-specific validation record that can be used as the basis for ongoing inspections.

Then, during the daily inspection, the user is not starting from a blank form. They are confirming that the safety features identified in the machine validation are still accurate, in place, and functioning.

From Admin Validation to Daily Sign-Off

From Admin Validation to Daily Sign-Off

The workflow separates setup from daily verification.

The admin creates or updates the machine validation record by identifying the required safety features and checks for that specific machine. The daily user then opens the inspection, reviews the validated safety items, confirms their status, documents any issues, and signs off when the machine remains current and ready for use.

This helps keep the process organized and prevents daily inspections from becoming generic or disconnected from the actual machine.

1 Admin identifies the machine
2 Admin documents required safety features
3 Admin defines daily verification items
4 Machine validation becomes the source record
5 User opens the daily inspection
6 User verifies each required item
7 User documents issues, photos, or notes
8 User certifies the validation is still current
9 User signs off on the daily inspection

Daily Documentation of Machine Safety Status

A completed daily inspection creates a clear record that the machine’s required safety features were reviewed and certified at the time of use.

The record can include the machine, location, department, safety features checked, inspection responses, user certification, sign-off, photos, notes, date, time, and completion status.

This gives companies a more complete view of machine safety over time. Managers can see whether inspections are being completed, whether required safety features are still in place, whether issues are being reported, and whether machines are being used with current validation records.

Instead of only having a one-time machine review, the company can maintain ongoing documentation showing the daily status of each machine and its safety features.

Daily Documentation of Machine Safety Status

Why Digital Machine Validations & Daily Inspections Matter

The admin validation record defines the safety features and checks that apply to the specific machine. This gives the daily inspection a stronger foundation than a generic checklist.

Operators or assigned users can confirm that the documented machine safety features are still present, current, and working before or during daily use.

Photos can be attached to daily inspections or machine validation records, helping document guarding, safety devices, labels, control panels, access points, or issues requiring follow-up.

Users can certify that the machine validation remains current and sign off on the daily inspection, creating a stronger record of accountability and completion.

Each completed inspection becomes part of the machine’s documentation history, giving companies a clearer record of daily machine safety status over time.

A More Controlled, More Consistent, and More Documented Machine Safety Verification Process

For admins: A structured way to define required safety features for each machine
For operators: A clear daily process for confirming the machine remains current and safe to use
For safety managers: Better visibility into daily machine status and inspection completion
For companies: Stronger documentation of machine safety features, daily verification, and user sign-off
